Email Signatures with the Assistant

Have the assistant recreate your professional email signature — or design a new one — no HTML skills required.

Why use the assistant for your signature

Professional email signatures — the kind with a logo, brand colors, and a clean layout — are usually built in HTML by an IT team or a signature tool. Writing that HTML by hand is fiddly, and pasting it wrong breaks the design.

The Aggrandize assistant does it for you. It can:

  • Recreate the signature you already use. Your Outlook or Gmail signature rides along in every email you send — the assistant can read your own recent sent mail, find it, and rebuild it as a clean, email-safe signature in Aggrandize.
  • Design one from scratch. Give it your name, title, brand color, and a logo URL, and it produces a polished, corporate-quality signature.
  • Keep your hosted images. If your existing signature references a logo hosted on the web (as managed signatures usually do), the assistant reuses the exact same image — recipients see the identical logo.

How to use it

  1. Open the assistant (the sparkle icon, or Alt+A).
  2. Ask for what you want, for example:
    • "Recreate my email signature from my sent mail."
    • "Set up a professional email signature — brand color #0F4C81, my logo is at https://mycompany.com/logo.png, name Jane Doe, title VP of Preconstruction."
  3. The assistant reads your current signature (if any) and your recent sent mail, then drafts the design and describes it to you.
  4. When you're ready to save, a confirmation card appears showing the signature exactly as it will be saved — fully rendered, with the size and a list of any websites its links and images point to.
  5. Click Approve. The signature is saved and immediately appears in Settings → Email and on your next composed message.

If you have the Prompt Library, type /signature in the assistant to start this flow with one command.

What the confirmation card shows

The card is your final check, so it's designed to be trustworthy:

  • The preview is the exact signature that will be saved — not an approximation.
  • Remote images don't load until you click Show remote images, which names the sites they come from.
  • What you approve is what's stored: if anything would need to change, the save stops instead of saving something different from the preview.

Good to know

  • Own mailbox only. The assistant can only read and update the signature for your connected mailbox — never a colleague's or a shared mailbox's.
  • Embedded logos need a web address. Some Outlook signatures embed the logo image inside each message rather than hosting it online. Those can't be carried over automatically — the assistant will ask you for a web URL for the logo (it's usually already on your company website).
  • Images should be hosted. Signature images must be regular https:// web images. Embedded/base64 images aren't supported — most mail clients won't display them anyway.
  • On mobile, your signature is applied to messages you send from the Aggrandize app as usual, but reviewing and approving signature changes happens on the web app, where the full rendered preview is available.
  • Editing afterwards: your saved signature always shows as a rendered preview in Email Settings, where you can tweak it visually or in HTML at any time.
